Position Purpose
FCF is seeking an Executive Assistant to coordinate and support aspects of FCF executive team which is made up of the CEO, CFO, COO, CAO, and CPO. This position will serve as an integral part of the FCF central office team supporting all aspects of the organization management.
The Executive Assistant will work with the executive and central office team, reporting to the COO. The incumbent interacts regularly with employees and the public. This position will require occasional work on evenings and weekends for board meetings and other events.
Position Responsibilities
- Provides administrative support to executive team members.
- Maintain CEO calendar, schedules appointments and meetings.
- Draft communications and presentations for CEO.
- Prepare and distribute agendas and notes of the executive team meetings and other meetings as assigned.
- Assist in planning and coordinating logistics for board meetings including scheduling, flights, and hotel/food arrangements.
- Assist in updating board manual and meeting materials.
- Process expense reports and other financial documents for executive team as needed.
- Schedule, plan and coordinate events, interviews, appointments, and/or other similar activities for executive team, including coordinating travel and lodging arrangements.
- Establish and maintain effective filing systems, both electronic and physical.
- Assist in coordinating staff meetings both in-person and virtual including agenda, logistics, materials and communication.
- Provide other administrative functions as requested.
- Other duties as assigned.
Qualifications
- Bachelor’s degree or equivalent qualification
- 3+ years of administrative experience working in a fast-paced environment
- Social service or nonprofit experience preferred
- Strong commitment to the mission of FCF
- Strong attention to detail
Knowledge, Skills, and Abilities
- Strong computer skills in Microsoft Office; including Outlook, Word, Excel and PowerPoint
- Fast and accurate keyboarding skills
- Technical skill and ability to manage documents on SharePoint
- Experience in composing, editing, and proofing correspondence
- Ability to use discretion in handling confidential matters
- Detailed orientated, excellent proofreading and accuracy skills
- Ability to work independently, manage multiple projects, and use discretion in handling confidential matters
- Ability to accept and manage work direction from multiple sources

Work Conditions
- This position is located in our national headquarters in the warehouse district in Minneapolis.
- Must be able to work on the computer for extended periods of time.
- Ability to travel when needed.
