Salary and Benefits:

Mission and Organizational Background

The mission of First Children’s Finance (FCF) is to grow the supply and business sustainability of excellent child care. Founded in 1991, FCF provides business and financial assistance to business owners and leaders in the field of Early Care and Education (ECE). To achieve our goals, FCF works on three levels: Individual Business Level, Community Level and Systems Level. FCF is a national nonprofit organization headquartered in Minneapolis that provides business development programs and/or financing to ECE providers in multiple states, with regional offices in three: Minnesota, Iowa, and Michigan. Position Purpose

FCF is seeking an Executive Assistant to coordinate and support aspects of FCF executive team which is made up of the CEO, CFO and CPO. This position will serve as an integral part of the FCF central office team supporting all aspects of the organization management.

The Executive Assistant will work with the executive and central office team, reporting to the CFO. The position interacts regularly with employees and the public. This position will require occasional work on evenings and weekends for board meetings and other events.

 

Position Responsibilities
  • Provide administrative support to executive team, maintain calendars, schedule appointments and meetings in Outlook.
  • Coordinate day-to-day activities of executive team, monitor schedule and meetings
  • Prepare, transcribe, compose, type, edit, and distribute agendas and minutes of the board meetings and other meetings as assigned
  • Assist in logistics and material  preparation for board meetings
  • Plan, organize, and schedule occurring trainings and meetings in the office, offsite, and via video conference
  • Process all expense reports and other financial documents for executive team as needed
  • Schedule and coordinate meetings, events, interviews, appointments, and/or other similar activities for executives, including coordinating travel and lodging arrangements
  • Serve as recorder for meetings requiring minutes
  • Establish and maintain effective filing systems, both electronic and physical
  • Coordinate travel logistics for staff and board members
  • Coordinate staff meetings including agenda, and communication
  • Provide other administrative functions as requested
  • Other duties as assigned
Education and Qualifications
  • High School diploma or equivalent; two years or college preferred
  • 3+ years of administrative experience working in a fast-paced environment
  • Social service or nonprofit experience preferred
  • Strong attention to detail
  • Strong computer skills in Microsoft Office; including Outlook, Word, Excel and PowerPoint
  • Fast and accurate keyboarding skills
  • Strong commitment to the mission of FCF
  • Experience in composing, editing, and proofing correspondence
  • Detailed orientated, excellent proofreading and accuracy skills
  • Ability to work independently, manage multiple projects, and use discretion in handling confidential matters
